What we collect, why, where it's kept, for how long, and what you can ask us to do with it. In plain English.

Who we are

RetainerFree is the trading name of Harry Myers, a sole trader, of 532 Meadow Mill, Stockport, SK1 2AP. We decide how your information is used, so we're responsible for it. For anything on this page, email team@retainerfree.com.

What we collect, and why

  • When you ask for a free teardown: your name, email, your shop's web address and your answers to three short questions. We use them only to make your teardown and email it to you, within 2 working days. You're not added to a mailing list. When you press the button, your own email app opens with your request written out to team@retainerfree.com. Nothing is sent until you press send there, and this website doesn't store anything you type. Your request then lands in our inbox at that address.
  • When you buy: you pay on Stripe's secure checkout page. Your card details go to Stripe and never reach us. Stripe sends us your name, email, billing details, what you bought and your shop's web address, so we can start your work and keep the records the law asks for.
  • Your questionnaire: what you tell us about your brand, your customers and your numbers. You send it through a private link, and it comes to our own computer. We use it only to research and write your playbook.
  • When you email us: your message and email address, so we can reply.

We use these because you asked us for something (a teardown, a playbook, a reply), and to keep the business records UK law requires.

Who else handles it

  • Stripe takes payments and sends your receipt. Stripe's own privacy notice covers what it does: stripe.com/privacy.
  • Cloudflare hosts this website and forwards email sent to team@retainerfree.com to our inbox. Like any web host, it handles your IP address and browser details to deliver pages and keep the site secure. We don't use that to identify or track you.
  • Our email provider holds the emails we send and receive, including teardown requests and your messages to us.
  • AI tools: we use some AI tools, run by established AI providers, to help gather and sort research: for example, collecting public reviews of your products and your competitors' and grouping what customers say. Our team also uses them to help with first drafts of parts of the write-up. While we work, your questionnaire answers and your numbers may be sent to these tools. Our team reads the research, writes your playbook and checks everything before you get it.

We never sell your information, never publish it and never use it for anyone else's playbook. Stripe, Cloudflare, our email provider and the AI providers work internationally, so your details may be handled outside the UK, under the safeguards UK law requires.

Where it's kept, and for how long

Your questionnaire answers and what we make for you are stored on our own computer, not in shared online drives. Parts of them pass through the AI tools above while we work. Payment records stay in Stripe.

We keep teardown requests for 12 months, then delete them. If you buy, we keep your order and payment records for six years, as UK tax law requires, and your questionnaire and playbook files until you ask us to delete them.

Cookies and tracking

This site sets no cookies and runs no tracking or analytics. Stripe's checkout page sets its own cookies to take your payment safely; Stripe's notice explains them. If this site ever adds tracking, we'll ask first, and you'll be able to say no.

What you can ask us

You can ask for a copy of what we hold about you, ask us to correct it, ask us to delete it, or object to how we use it. Email team@retainerfree.com and we'll reply within a month.

Complaints

If you're unhappy with how we've handled your information, please tell us first. You can also complain to the Information Commissioner's Office at ico.org.uk.
